It is the first of the month, and somebody is typing last month into a spreadsheet.
Every receipt the counter issued is entered a second time, so that the books agree with the cash. Each figure typed twice is a chance to type one wrong.
Until somebody sits down to do it, the accounts are behind the counter by weeks.

The receipt becomes a double-entry journal entry, posted to the general ledger and to the student’s own account.

Debits must equal credits before an entry saves, both on the screen and on the server.
- A correction leaves a trail.
A posted entry is reversed with a reason, which writes an offsetting entry. Nothing is edited silently.

What a school asks about this.
Do we still need a month-end export to the accounts?
No. The fee receipt and its journal entry are written together, so there is nothing left to export at month end.
Can a posted entry be edited?
Not silently. A posted entry is reversed with a mandatory reason, which creates a proper offsetting entry.
Does payroll post itself too?
Yes. Finalising payroll writes the salary, PF, ESI and TDS journal entries automatically.
