The problem
The problems your office is still solving by hand.
- A parent asks about the fee bill and says the amount is wrong. Three people are asked before anyone can explain how it was calculated.
- Fees are overdue and a late fine has to be added. Every school has its own rule for it, so somebody calculates it one child at a time.
- Your best senior teacher has spent three weeks on next year’s timetable and it still has a clash on Thursday.
- The accountant asks how much fee was collected last month. The answer has to be added up from the receipt book, the bank statement and the online payments.
- A child is not in school, and the first you hear of it is the parent ringing hours later to ask why nobody called.
- A child has an allergy. The information exists. It is in a file, in a cupboard, on the wrong floor.
None of these is a staff problem. Each one is what happens when the same information is written down in several places by several people, and no two copies agree.
The solution
Your school already runs on registers. This one adds itself up.
The attendance register. The fee register. The admission register. The stock register. Every school runs on them, and every school runs on somebody who knows how to read them.
EduBold does not replace that habit. It keeps the registers, and connects them.
When the clerk writes a fee receipt, the journal entry is already posted. When a member of staff is marked absent without leave, that day has already reached the payroll calculation. When a parent accepts an admission offer, the student record and the login exist before anyone opens a form.
Nothing is entered twice. So there is nothing to reconcile.

The timetable builds itself.
Not a grid you fill in. You set the constraints, the teachers’ preferences, the rooms and the periods, and the system places the whole week. It gives you a score, tells you how many lessons it could not place, and lists every clash it found with a suggested fix for each.
You keep the old version while you try a new one. If the new one is worse, you roll back.

Admissions and fees
Admissions spots the sibling, and the fee discount follows it.
When a new application arrives, EduBold scores it against every family already in the school: the caregiver phone numbers, the surname, the address, the email. If it looks like a sibling, it says so. Confirm it and the sibling discount applies itself across every linked record.
Your registrar finds out on the day the form arrives, not at the first billing run when a parent asks why they have been charged full fee for a second child.

Accounts
Accounts: the books are written by the time you open them.
Fees and payroll post themselves to a real double-entry ledger. Not a fee summary with an accounting label on it. Balanced journal entries, a general ledger, a running account per student, cost centre.
At year end your CA opens Trial Balance, Balance Sheet, Profit and Loss, Cash Flow and Fund Flow, with the audit schedules already laid out the way they number them. If they still want it in Tally, it exports there.

Payroll and compliance
Payroll files the statutory forms out of the same records.
Form 16 for every member of staff, in bulk, as one ZIP. Form 24Q with the FVU file you upload to TRACES. GSTR-1 and GSTR-3B from your own transactions.
PF, ESI and professional tax calculated from configured rules, so when the government moves a ceiling you change a field rather than wait for a release.

Case study
A school in Punjab that several other systems could not bill.
Two children sit in the same class. One owes a registration fee and one does not, and which is which depends on the year each of them joined.
A school of roughly 1,400 students in Punjab charges a registration fee every second year, counted from the year each student was admitted. So what a child owes depends on when they joined, not on which class they are in.
That school had tried several other systems before us. None of them could bill the rule.
EduBold has no setting for a fee that repeats every second year either. It has a rule engine that can read each student’s admission date, which turned out to be enough.
Their principal sent a sample of his data. We configured about 10 rules and showed him his own students billed correctly. That covered 95% of what he needed.
He paid us nothing for that. We did the work first, and he paid only after he had seen his own students billed correctly. His office has used EduBold every working day since early 2026.

Security
No school on EduBold can read another school’s data.
Every record carries the school and the branch it belongs to, and every screen applies that filter without being asked. Underneath, the database itself enforces it, so it cannot be forgotten or switched off.
If the application ever asked for another school’s data, the database would refuse to return it.

It starts on the first of August, with a school opening for the session, and follows the month through admissions, fees, attendance, the timetable, exams and payroll to the books closing.

The questions you are already asking.
How long does it take to move across?
Between a week and about ten weeks, depending on what you are bringing with you. A single school starting at the top of a session, with master data already in reasonable shape, can be live in a week. A trust moving several schools mid-session, carrying opening balances and a year of fee history, sits at the other end. Your students, staff, fee structure and opening balances have to come over and be checked either way. We do the import; you check it. More on switching from Tally and spreadsheets
Do we have to use all of it?
No. Modules are enabled per school. Several schools run fees and accounts for a year before touching the timetable.
What about our existing Tally?
It survives. Ledger and voucher-type mapping, XML export, a sync log. Your CA’s workflow does not have to change on day one.
Who owns the data?
You do, and you can act on that without asking us. Your own administrator exports it, in standard formats, whenever you want it. If you decide to leave, the organisation and everything in it can be permanently deleted on request.
Is it built for Indian schools specifically?
Yes, in three specific ways. The books are real double-entry, kept to Indian accounting practice, so the year-end statements come out in the formats your CA and your auditor already work in. Payroll follows Indian statutory practice: PF, ESI, professional tax and TDS, calculated from configured rules, on the old regime or the new. And the assessment model is configured rather than hard-coded, so CBSE, ICSE, state boards and IB all run on the same engine. You set the grading scheme, the weightings and the report card format.
